Position Overview: Are you a detail-oriented, process-driven multitasker who can handle anything thrown your way with a smile? Do you have a knack for numbers, tech, and excellent problem-solving skills? If you're nodding enthusiastically, we want you to be the right-hand person to our CEO. You'll manage schedules, book travel, streamline communication, and keep our digital and financial records in tip-top shape all while directly working directly with our entire management team while we scale to infinity and beyond, or just the next phase of our crazy plan. You will be an integral part of our growth and learn everything needed to know about scaling a company centered around Dope Plant Food!
Key Responsibilities:
CEO's Right Hand:
Take administrative burdens off the CEO's plate, allowing them to focus on big-picture goals.
Manage schedule, book travel, and act as a buffer between them and the team.
Answer emails and ensure all digital data is organized and easily accessible for the entire team to optimize workflow and efficiency.
Financial Wizardry:
Assist the Vita accounting team with weekly bookkeeping tasks and expense categorizations (forwards vendor invoices to the accounting email for processing, assists in obtaining approvals for Payables, makes purchases on the Company cc as directed, and categorizes unknown charges.
Manage all aspects of distributor/customer invoice issues: Follow up on any deductions in question and ensure our customer account records are pristine.
Administer the Customer Credit Check process
Assist in obtaining W9s for all new Company vendors and suppliers
Facilitate information needs between Vita and BeHive operations
Data Guru:
Organize and update spreadsheets necessary for sales, production, and operations.
Fill out forms and paperwork for distributors and vendors accurately and promptly.
Track down issues and solve problems across different sectors of the company.
Tech Savvy Organizer:
Maintain proficiency in QuickBooks, Excel, Word, and Google Drive.
Navigate 21st-century internet and computer skills with ease.
Excel at completing administrative tasks without micromanagement.
Travel Companion:
Occasionally travel with the CEO and sales team to assist in day-to-day activities, food shows, and events.
Be flexible and ready to adapt to various tasks and environments on the go.
Must-Have Skills:
Exceptional attention to detail and process-driven mindset.
Strong numerical and technical skills.
Excellent people skills while exercising empathy and compassion
Superior problem-solving abilities.
Ability to work independently and efficiently.
Proficiency in QuickBooks, Excel, Word, and Google Drive.
